The Role
As part of the Operations team, the Account Specialist – Order Management is responsible for the accurate and timely entry, processing, and management of customer orders for an assigned customer portfolio.
The role serves as a key link between customers and internal teams, coordinating closely with Sales, Project Management, Finance, and our manufacturing facilities to ensure orders are processed efficiently and delivered in line with customer requirements.
Key Responsibilities
Process new customer sales orders in the ERP system, ensuring equipment specifications, order details, and pricing are accurate.
Manage changes to customer requirements throughout the order lifecycle and ensure all relevant stakeholders are informed.
Prepare and send Order Acknowledgements and Shipment Schedule documentation to customers.
Monitor and follow up daily on all assigned customer orders to ensure timely progress and delivery.
Work closely with our manufacturing teams in Breda and Montreal to ensure orders are delivered within the customer’s required timeframe.
Communicate order updates, changes, and potential delays to Project Managers, Sales Account Managers, and customers.
Liaise with Sales and Finance to resolve Credit Holds and other issues that may prevent or delay order fulfillment.
Respond promptly and professionally to internal and external customer enquiries via email and telephone.
Ensure orders are shipped and invoiced accurately and in a timely manner.
Process RMAs and Credit Notes for customers returning sales equipment.
Maintain accurate and up-to-date order information and documentation throughout the order lifecycle.
Qualifications:
Previous experience in Order Management, Customer Service, Sales Operations, or a similar customer-focused role.
Experience working with ERP systems; SAP experience is an advantage.
Experience with CRM systems; Salesforce experience is an advantage.
Advanced level of English, both written and spoken.
Strong knowledge of Microsoft Excel and other Microsoft Office applications.
Excellent organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
Strong attention to detail and a high level of accuracy.
Ability to work effectively to deadlines, particularly during month-end periods.
Strong prioritization and problem-solving skills.
Ability to work independently, take ownership of assigned responsibilities, and ensure tasks are completed on time.
Strong communication and collaboration skills, with the ability to work effectively across multiple departments and with customers.
